Fee Overview

EPCA Member delegate* registration opens in  spring 2026 

The registration fees are undergoing review by the EPCA Board of Directors and will be posted here upon approval.

 

  

 

Eligibility & Membership Requirements

*EPCA Member Delegates

Registration is only possible for representatives of an EPCA member company in good standing (annual dues paid). Only EPCA members can register, exhibit, sponsor, and book meeting spaces. All tickets are nominative & non-transferable.

Included in the registration fee:
Access to the delegate list & contact details (based on visibility preferences).
Official EPCA sessions (e.g. Logistics & Supply Chain, Leadership Forum, Talents of Today).
Access to the Opening Walking Dinner on Monday, 5 October 2025 (please select the "🍽 Opening Dinner" option).
Networking Breakfast (standing) on 6 and 7 October 2026 at the Hilton Vienna Park Grand Park Hall
Access to EPCA Lounges with coffee & water stations (Hilton, Marriott and InterContinental) 

Not included:
X Travel & accommodation costs.
X Meeting room/table rentals or additional other related goods and services.

Non-Member Policy

X Non-members cannot attend.
To attend during those days your company must apply for EPCA membership by 30 June 2026 (processing takes ~8 weeks).
Registration is only possible after membership is approved and payment is received.
Membership fees due by 20 September 2026 – unpaid companies will be unable to attend.

However, new membership applications for the year 2027 will begin in October, after this 60th Annual Meeting. Companies interested in participating next year are encouraged to start the application process early to avoid disappointment in 2027.

Terms & Conditions for Delegates

Modifications, Name Changes & Delegate Substitutions

Substitutions can only be accepted if the original delegate has not yet had their badge printed.
The substitute must be from the same member company.
 To request a substitution, email meetings@epca.eu with the relevant details.

Cancellation & Refund Policy

Payment & Invoice information

Payment Methods

Accepted Payment Method: Credit card only (via the registration site).
X Not Accepted: Wire transfers, checks, or purchase orders (POs).

Invoice is automatically issued after payment is completed. Please ensure you enter the correct billing address during registration.

 

Why is there Austrain VAT (20%) on registration fees?

According to articles 53 and 54 of the European VAT Directive 2006/112/EC of 28 November 2006 the place of supply of services in respect of admission to a.o. scientific, educational or similar events, shall be the place where those events actually take place. Consequently, local VAT must be charged on the admission fees to such events. In this respect German VAT is levied on the admission fee to our 59th Annual Meeting in Berlin, Germany.
Insofar as and to the extent that you are entitled to deduct VAT in your own country, the German VAT can be reclaimed.
As from the 1st of January 2011 European taxable persons must reclaim foreign VAT electronically (via an electronic refund portal) in their own member state (EU Directive 2008/9/EC from 12 February 2008).
In summary, VAT charges are applicable to all attendees, regardless of their status as an entrepreneur, possession of a valid VAT registration number, or location within or outside the EU. Local VAT will be charged on the admission fees for the event.
