EPCA’s Badge Policy "No Badge No Entry"

There are two types of Badges: EPCA Delegate Badge and Guest Badges (for EPCA member company-hosted meetings only).
Access to public areas is possible without a badge.

 

  

 

EPCA Delegate Badge

Access to EPCA areas and activities will be allowed only to people wearing the official 60th Annual Meeting delegate badge.
Our policy is not to reprint badges or replace lost badges. Please keep track of your badge and make sure you bring it each day.

How to Collect Your Badge

A few days before the event, registered delegates receive a personal QR code by email.
Alternatively: log in to the Attendee Hub → click E-Ticket.

At a designated partner hotels (with badging kiosk):

  • Scan your QR code at the kiosk
  • A photo is taken
  • Your Delegate Badge is printed

Onsite badge Pick-up

At #EPCA60, we value the security and exclusivity of our event. As such, the delegate badge is a vital identification document throughout the event. Please be advised of the following guidelines:

  • Badge Access: Access to all official events, including the opening walking dinner, requires the possession of a valid delegate badge.
  • Event Registration: To attend activities e.g. the walking dinner, make sure you have registered for the event online. Only registered participants will be allowed entry.
  • Lost Badges: In the unfortunate event of losing your delegate badge, kindly note that replacements will not be issued.

We strongly advise you to keep your badge secure at all times.

  

 

Guest Badges (for Company Meeting Areas Only)

Guest badges are provided to member companies that have booked through EPCA a meeting room or meeting table. These badges are not personalized and reusable. 
If you're attending a meeting as a guest of an EPCA member company, please contact your designated company representative, who will provide the guest badge.

        A. Meeting Room (in official EPCA hotels)

            5 reusable guest badges per meeting room. The dedicated meeting area in the hotel where the company’s Meeting Room is located
            Collection: Pick up of the guest badges by the member company at the hotel's reception.

        B. Expo Meeting Table

            3 reusable guest badges per meeting table. 
            Collection: Pick up of the guest badges at the EPCA Info Desk at the Hilton Vienna Park – Ground Floor (from 09:00 AM, Monday, 5 October 2026).

Responsibilities of the renting Member Company

  • Distribute and recollect badges from guests.
  • Ensure appropriate use of badges during the event.
  • Report any lost badge to EPCA immediately (no replacement will be issued).

Access Rights

  • Valid only for the dedicated meeting room area or expo meeting table hall.
  • No access to meeting rooms, EPCA sessions, Lounges, or EPCA F&B functions. 
  

 

Access Without a Badge

Visitors without a Delegate Badge or Guest Badge can access the public hotel areas (lobby, bars, restaurants).
They cannot enter any EPCA area or any space used by EPCA member companies for meetings.

For member company events taking place in the EPCA partner hotels, please note the “No Badge No Access” policy is enforced.
