Meeting SPACES Allocation process

EPCA member companies can request one or more meeting rooms at one of the Official EPCA hotels. Upon availability, requests can either be accepted in full, accepted with limitations (for example with a reduced number of rooms or at a different hotel), or rejected. To ensure a fair distribution of meeting rooms, EPCA will review all requests and allocate rooms taking in consideration vrious criteria including the following ones: 

  • Number of consecutive years of participation in the event 
  • Number of registered delegates in previous years 
  • A limit of one meeting room at the ground floor or mezzanine level in each of our main hotels (Hilton Vienna Park, InterContinental Vienna, Marriott Vienna)
  • Chronological order of submission

Allocation Process: Response Period, Refusal, and Implicit Acceptance 

Once the meeting room request has been reviewed, EPCA administration will send a confirmation email, within 14 working days, to the company representative with information on allocated meeting room(s).  

After receiving the confirmation email, the company representative has 7 working days to review the allocation and request potential modification to the assigned meeting room(s). If no response is received by email within this time frame, EPCA will consider the meeting room allocation accepted, the meeting room will be considered booked by default (Implicit Acceptance) and will be subject to EPCA's terms and conditions, including any applicable charges for cancellation or no-show. Please enter a valid tax/VAT number with leading country code (i.e. LU123456789).
For EU countries an automatic VAT validity check (VIES verification) will be performed
Meeting Space visibility The list of all allocated meeting rooms will be available both prior to the event on the event website(s) and on-site at the EPCA Information Desks located at each partner hotel. Please indicate your company's visibility preference for inclusion in this list.
