EPCA Webinar Terms and Conditions

 

 

1. Scope and applicability

These Webinar Terms and Conditions (T&Cs) govern the registration, participation, organisation, and use of webinars organised or co-organised by the European Petrochemical Association (EPCA).

They qualify as Special Terms and Conditions and apply in addition to EPCA’s General Terms & Conditions. In case of inconsistency, these Webinar T&Cs shall prevail for all webinar-related matters.

By his/her registration to a Webinar, the Participant agrees with the present Terms and Conditions.

 

2. Definitions

EPCA: European Petrochemical Association AISBL, incorporated under Belgian law, with registered office at Rue Belliard 40, 1040 Brussels, registered with the Belgian Crossroad Bank for Enterprises (BCE) under n°0408.299.922

Webinar: Any online event, meeting, briefing, or presentation (co-) hosted or (co-) organised by EPCA.

Participant: Any registered attendee, speaker, moderator, or host taking part in the webinar.

Platform: The digital tool used to host the webinar (e.g. Microsoft Teams or equivalent).

 

3. Registration and access

3.1 Participation in EPCA webinars is subject to prior registration and confirmation by EPCA.

3.2 Registrations are personal and non-transferable, unless stated otherwise in writing by EPCA.

3.3 EPCA reserves the right to refuse or cancel a registration at its sole discretion, without liability, notably in case of non-compliance with these Webinar T&Cs or EPCA’s General Terms & Conditions.

3.4. Participants are responsible for ensuring their own technical compatibility and internet access.

 

4. Fees and commercial neutrality

4.1 Unless explicitly stated otherwise, EPCA webinars are free of charge. If payment is due, access to the Webinar will only be granted after receipt of payment.

4.2 Webinars are non-commercial in nature. Promotional or sales-oriented interventions, marketing content, or advertising are not permitted unless expressly authorized in advance and in writing by EPCA.

4.3 EPCA may remove or mute Participants who breach this rule, without prior notice.

 

5. Conduct and participation rules

5.1 Participants shall behave in a professional, appropriate, non-disruptive, respectful, and lawful manner at all times. They must comply with national and European competition laws (see EPCA’s Dos and Don’ts) and comply with the present Webinar T&Cs and with EPCA’s General Terms and Conditions.

5.2 EPCA reserves the right to moderate discussions.

5.3. In case of non-compliance with these Webinar T&Cs or EPCA’s General Terms & Conditions, EPCA also reserves the right to mute participants, disable their chat and video functions, take any other useful measure to ensure the compliance with the T&Cs, or even terminate the participant’s access to the Webinar, without prior notice.


6. Recording and use of content

6.1 EPCA webinars may be recorded, including audio, video, screen content, chat messages, questions and answers, and other participant interactions.

6.2 By registering for and participating in a webinar, Participants expressly consent to:

  • the recording of the webinar in whole or in part;
  • the creation of written records or summaries of the webinar content, including through the use of artificial intelligence–based tools;
  • the internal or external dissemination of recordings, transcripts, summaries, and related materials to EPCA members, registered participants, or other audiences as determined by EPCA;
  • the use and publication of images (including screenshots or still images) taken during the webinar for EPCA’s communication, marketing, and promotional activities (e.g. website, newsletters, social media, presentations).

Participants who do not want their attendance to be public or their personal data (name, picture, voice, comments, etc.) must adapt their settings accordingly before they join the Webinar.

6.3 No screenshots, recordings, reproductions, transcriptions, or redistributions of webinar content by Participants are permitted without EPCA’s prior written consent.

 

7. Intellectual property

7.1 All webinar content, including presentations, recordings, logos, and materials, remains the intellectual property of EPCA and/or the respective speakers.

7.2 Participation does not grant any license or right to use such materials beyond personal, internal, and non-commercial use.

7.3 Any unauthorised reproduction or distribution is strictly prohibited.

 

8. Data protection and privacy

8.1 Webinars are hosted using third-party platforms (Microsoft Teams or similar). Participants are responsible for adjusting their own settings if they wish to limit their visibility or identification.

8.2 EPCA processes personal data in accordance with Regulation (EU) 2016/679 (GDPR) and its applicable Privacy Policy.

8.3 Personal data is collected solely for the organisation, management, and follow-up of EPCA activities and will not be disclosed to third parties unless legally required or necessary for the execution of EPCA’s services. Personal data collected during the registration for the Webinar generally includes, but may not be limited to, first name, last name, email address, company and position of the Participant.

 

9. Liability and disclaimers

9.1 Webinar content is provided for general information purposes only and does not constitute legal, technical, or professional advice.

9.2 EPCA makes no warranties regarding the completeness, accuracy, or applicability of any information shared during webinars.

9.3 Except if otherwise foreseen under Belgian law by a legal provision of public order or mandatory law, EPCA shall not be liable for:

  • damages in relation with technical failures or interruptions,
  • damages in relation with reliance placed on webinar content, or
  • any indirect damage arising from participation.

In any event, EPCA is only liable for serious faults or voluntary acts (“dol”)

9.4. Participants cannot hold EPCA’s agents liable for damages in relation with the Webinar, be it on a contractual or an extra-contractual basis.

 

10. Amendments and cancellation

10.1 EPCA may modify, postpone, or cancel a webinar without prior notice and without incurring liability.

 

11. Governing law and jurisdiction

These Webinar T&Cs are governed by Belgian law.
Any disputes arising from or related to EPCA webinars shall fall under the exclusive jurisdiction of the courts of Brussels.
